An EstiMate user suggests the following:
If a customer gives us the go-ahead, we convert from an estimate to an invoice and print three copies: 1 white for the customer, 1 yellow for the shop file and 1 yellow for the bookkeeping file.
I have found that the best time to export for us is when I have a payment for the job in hand, either a partial or the final payment.
At that time with a few clicks I:
1. Set the flag in the EstiMate invoice from "In Progress" to "Completed" if this wasn't done before
2. Export to Quickbooks, setting the date to today
3. Import into Quickbooks, and apply the payment
4. Archive the EstiMate Invoice
If I need an invoice after I have archived for whatever reason, I use the QB invoice. Normally we don't use the invoice in QB at all, but use the EstiMate invoice.
